Roles & responsibilities

Client Work Planning & Monthly Deadline Management • Build and maintain a monthly work plan for each client, mapping all compliance deadlines (VAT, corporation tax, payroll, Companies House, etc.) • Ensure deadlines are tracked proactively and escalated to the UK team with sufficient lead time • Maintain a live master schedule across all clients and flag risks ahead of due dates • Coordinate with clients (via UK team) to gather information and resolve queries in time to meet filing deadlines

Task Allocation & Workflow Management • Allocate client assignments to senior and junior accountants based on complexity, capacity, and skill level • Set clear task briefs, deliverable formats, and turnaround expectations for each team member • Monitor work-in-progress daily, identifying bottlenecks and redistributing workloads where necessary • Ensure quality review is completed before work is submitted to the UK team or clients

Admin & Work Cycle Management • Oversee the full end-to-end work cycle from job initiation to final delivery and filing confirmation • Maintain internal trackers, job management systems, and filing records for all clients • Manage admin processes including client onboarding documentation, engagement letters, and AML checks • Ensure all workflow tools (practice management software, shared drives, task systems) are kept up to date

Team Performance Review & Development • Conduct regular performance reviews for senior and junior team members against agreed KPIs and output quality • Provide constructive feedback, identify training needs, and support professional development across the team • Maintain records of team output, accuracy rates, and deadline compliance for management reporting • Address underperformance promptly and escalate HR matters to management as appropriate

UK Team Liaison & Strategic Updates • Provide regular structured updates to the UK team on workflow progress, client status, and team capacity • Participate in UK-side strategy meetings and translate strategic priorities into actionable operational plans • Flag risks, delays, or client concerns to UK management in a timely and solution-oriented manner • Act as the primary operational point of contact between the offshore team and UK leadership

Portfolio & Capacity Management • Maintain a clear, up-to-date view of the full client portfolio, team assignments, and workload distribution • Identify capacity gaps and assist with recruitment or resource planning decisions • Monitor portfolio growth and proactively plan ahead for peak periods (e.g. year-end, tax season) • Report on portfolio metrics including jobs completed, pending, and overdue to senior management

Additional Duties as Assigned by Management • Support practice improvement initiatives, process documentation, and system implementations as directed • Assist with ad hoc client work, special projects, or management reporting requirements • Contribute to the development of internal policies, SOPs, and quality control frameworks
